QUALITY MANAGEMENT, DOCUMENT FLOW AND RECORDS SERVICE
Brief description
The Quality Management, Document Flow and Records Service is responsible for managing the quality management system applicable to the Ploiești City Hall, coordinating the internal managerial control system implemented at the local administrative-territorial unit level, secretarial activity for the offices of the mayor, deputy mayors and public administrator, as well as registry and archive activity. We serve the citizens of the municipality, the Local Council and the other Mayoralty structures, in compliance with legislation and the Organization and Operation Regulation approved by Local Council Decision (HCL) no. 280/28.06.2024.

Main responsibilities
Drafting and managing Quality Management System documents (in accordance with ISO 9001:2015), centralizing internal managerial control documents, and providing the Technical Secretariat of the Quality Monitoring Committee (in accordance with OSGG no. 600/2018).
Implementation and maintenance of a certified QMS, as a guarantee of the services offered by the Ploiești City Hall to its citizens.
Providing secretarial services for the offices of the Mayor, Deputy Mayors and Public Administrator.
Recording and distribution of documents; managing the approval and signing workflows.
Management of the current archive and preparation for electronic archiving (Law no. 16/1996).
Assistance for citizens in submitting applications and tracking their status.
Indicative legal basis: Government Emergency Ordinance (O.U.G.) no. 57/2019 (Administrative Code), Local Council Decision no. 280/28.06.2024 (ROF), and other special acts applicable to the field.
